Officers and committee chairs (with the exception of Activities) are elected for three year terms. The Activities chair is ratified for a one year term.

Board of Directors History

Officer Position Descriptions
(Updated 11-10-2002)

Each officer is responsible for maintaining the records of his/her board position and delivering them at the end of each calendar year to the records retention files maintained in the Innis Arden Club House.

President:

  • Responsible for conducting the monthly meetings of the Innis Arden Board
  • Assures that there is an agenda prepared and followed for the meeting and that the meeting is conducted in a timely manner
  • Receives and responds to correspondences addressed to the club
  • Keeps Board members informed of current events of interest to the Board
  • Responsible for maintaining the official records of correspondences for the Board and the records of the various committees of the Board
  • Responsible for representing the club to include: the broader community, city officials, lawyer contacts, insurance agents and signing documents issued by the Board

Vice President:

  • Serves as back-up for President or any other Board member in case of absence for illness or vacation
  • Reviews and reports to the Board on legal issues and disputes
  • Compiles and distributes agenda for Board meetings

Treasurer:

  • Works with the Property Manager to make certain bills are paid in a timely manner
  • Reviews and forwards bank statements to Property Manager
  • Provides copies of financial statements prepared by Property Manager to the Board at the monthly meeting
  • Reports unusual or significant financial information to the Board
  • Keeps database up to date for Property Manager to mail dues statements and record receipt of dues and deposits
  • Informs the Board of the results
  • Provides a list of dues paying members to the Swim Club Chairperson, to the Tennis Key Chairperson, and to the Reserves Chairperson (for Boeing Creek keys)
  • Provides list of dues paying members to preparer of annual directory
    Arranges for an annual audit of books and federal tax return
  • On a triennial basis arranges for a cash reserve study
  • Helps the Board prepare annual budget at the November meeting and instructs the property manager to send out the budget by December 1 to the shareholders

Secretary:

  • Takes and distributes the minutes for Board meetings
  • Prepares an announcement for the December Bulletin regarding the annual meeting and provides information on voting procedures
  • Prepares for the annual meeting
  • Supervises elections of Board of Directors
  • Shares in the general work of the Board
  • Assumes any tasks that the Board may assign

Activities Chair:
The Activities Committee is a group of community volunteers who finance, organize and execute a variety of activities and projects open to the entire community. The social activities have traditionally included, but are not limited to the following:

  • Salmon Barbecue
  • Craft Bazaar
  • Holiday Party
  • Spring Egg Hunt
  • Ladies' and junior tennis programs

Proceeds from the activities committee fundraiser, the rummage sale, help to finance many of the social as well as community projects. Current projects underway are upgrading the playground with new equipment, sprucing up the landscaped area in front of the clubhouse and updating the Blockwatch Program. The chair is responsible for the over-all operation of the committee activities.

Activities Chair as a Member of Innis Arden Community Club Board:
The Activities Committee Chair is chosen by the Activities Committee and ratified as a member of the Innis Arden Community Club Board at the annual Board election in January. This person serves as a regular Board member in all respects, but the term of ratification is one year.
The following are the special responsibilities of the Activities Chair as a member of the Innis Arden Board:

  • Report to the Board and community about activities, planning, financing, impact, benefits problems etc.
  • Report to the Board and community regarding projects which the Activity Committee is undertaking independently.
  • Serve as liaison between the Innis Arden Board and Activities Committee with respect to community improvement projects which are planned and or financed jointly

Building and Remodels Chair:

  • Provides for and reviews with current and prospective residents Building and Remodel Guidelines as set forth by the Innis Arden Board of Directors and the Restrictive Mutual Easements and answers inquiries regarding the same
  • Reviews plans and examines site and staking of plans with proponents of remodel or new construction and/or their representative (architect, contractor)
  • Coordinates with proponents, affected neighbors, and other Board members to review plans and staking prior to Board meeting at which proposal is to be considered
  • Informs proponents in writing of Board decision
  • Other duties as requested

Clubhouse Chair:

  • Responsible for keeping the clubhouse building in good condition
  • Makes recommendations to the Board regarding rental rates
  • Gets bids from firms for maintenance/remodel work
  • Makes recommendations to the Board regarding maintenance/remodel work
  • Hires and trains clubhouse manager
  • Supervises clubhouse manager
  • Prepares monthly income/expenses statements for a treasurer

Grounds Chair:
The primary responsibility of the Grounds Chair is to insure that our grounds are maintained in attractive condition in a cost-effective manner, with grounds referring to our

  • Clubhouse property
  • Playground
  • Entrance at 8th NW and Richmond Beach Road
  • Springdale triangle

Reserves Chair:
The basic responsibility of this office is to manage our seven Reserve tracts as prescribed in the Restrictive Mutual Easements. The work revolves around:

  • Developing plans for view restoration
  • Maintaining trails and previous plantings
  • Promoting soil stability
  • Enhancing the Reserves to serve the enjoyment of the community
  • Coordinating Reserve activities with the city of Shoreline
